Quick Parts: Stop Rewriting the Same Letters Over and Over

  1. Type or paste the letter, paragraph, or message you want to save.
  2. Highlight the text.
  3. Go to Insert > Quick Parts > Save Selection to Quick Part Gallery.
  4. Give it a clear, searchable name, such as Late Payment Reminder or Inspection Follow-Up.
  5. Click OK.

To Use a Saved Quick Part

  1. Start a new email.
  2. Go to Insert > Quick Parts.
  3. Select the template you want to use.
  4. The saved text will be inserted into your message.
  5. Update any resident-specific information, such as the resident's name, date, or amount due, before sending.

That's it. No add-ins, special software, or IT assistance required.  Quick Parts is built directly into Outlook.

Step 2: Use AI to Build Your Templates Faster

The most time-consuming part of creating a template library is often writing the first version of each letter.

This is where AI tools can help.

Using the CRAFT prompting method, you can generate a professional first draft in seconds by providing:

  • Context: What's happening?
  • Role: Who is the message coming from?
  • Action: What should the AI create?
  • Format: How should it be structured?
  • Target Audience: Who will read it?

Example Prompt

This resident's payment is 10 days late according to lease terms.  You are assisting a public housing authority front-desk clerk.  Write a polite and professional late-payment reminder. Keep it to one short paragraph.  This letter is intended for a resident who may not be familiar with housing program terminology.

Once the AI creates a draft:

  1. Review it carefully.
  2. Adjust the wording to match your housing authority's policies and tone.
  3. Save the finalized version as a Quick Part.

Repeat the process for other common communications, such as welcome letters, inspection reminders, maintenance confirmations, and document requests.
